Refund Policy
Version 1 · 15. Oktober 2026
Dieser Text ist derzeit nur auf Englisch veröffentlicht.
This policy applies to Vardify subscriptions, and to the optional Tag Kit where it is offered in your market, for businesses established in the European Union or the European Economic Area. The service is provided by Nivorbit Teknoloji Limited Şirketi ("Nivorbit"). The policy explains when a refund is made, when it is not, and how to ask for one. It is read together with the Terms of Use.
In short. You can cancel your subscription at any time; cancellation takes effect at the end of the period already paid, and nothing is charged after that. The unused part of a period that has started is not refunded. Vardify has no unconditional money-back guarantee. If you buy as a consumer, your statutory right of withdrawal applies in full.
1. Who sells, who provides the service
- Paddle is the seller. Orders are processed by our online reseller Paddle.com (Paddle.com Market Ltd), which is the Merchant of Record for them. Paddle is the seller of record: it takes the payment, issues the invoice, handles VAT, provides customer service for the order and makes refunds. Paddle's own buyer terms apply to the purchase.
- Nivorbit provides the service. Nivorbit provides Vardify to you under the Terms of Use. The details of the order are set out in the Order Terms and the Pre-Contract Information.
- Price and billing. Vardify has a Free plan that is free for ever. Paid plans are priced per business: the plan's fee includes the first branch, and each further branch is charged separately. Plans are billed monthly or yearly; yearly billing gives two months free and is billed upfront for the year. Employees beyond those a plan includes for the business are billed as extra seats. A plan may also be sold on a written quote of the business's own. Plans and prices are shown on the pricing page and in the panel. Vardify is sold only on the web; there are no purchases in the mobile app. Prices are shown as Paddle's checkout shows them for your country; the order summary shows the total including VAT as calculated by Paddle.
2. Free trial
- A new business gets a 30-day trial with all features, with no card required. Nothing is charged during the trial.
- If you start the subscription during the trial, the first charge is made on the last day of the trial. Cancel before that date and nothing is charged.
- If the trial ends without a plan being chosen, your business moves to the Free plan; no data is deleted and nothing is charged. If the business is above the Free plan's limits (for example, more than 5 employees), the account becomes read-only until a plan is chosen or the employees are reduced to the limit.
3. Cancellation and renewal
- You can cancel your subscription at any time on the Billing page of the web panel (platform.vardify.com).
- Cancellation takes effect at the end of the period already paid: a monthly plan ends at the end of the month paid for, a yearly plan at the end of the year paid for. You keep using the service until then; nothing is charged afterwards.
- A subscription that is not cancelled renews automatically for a period of the same length. An e-mail reminder is sent 7 days before every yearly renewal.
- The unused part of a period that has started is not refunded, on monthly and yearly plans alike. This does not affect the consumer rights in clause 4 or any other right you have by law.
- Price changes are announced at least 30 days in advance and apply from the first renewal after the announcement. A price lock promised in a written offer is honoured for the term stated in that offer. If you do not accept the new price, you can cancel before the renewal date; nothing is then charged at the new price.
4. Right of withdrawal
- Businesses. Vardify is a service for businesses. If you buy for purposes relating to your trade, business, craft or profession, you are not a consumer and the statutory right of withdrawal under Directive 2011/83/EU on consumer rights, as implemented in your country, does not apply. This includes sole traders buying for their business.
- Consumers. If you buy for purposes outside any trade, business, craft or profession, you may withdraw from the contract within 14 days without giving a reason. For the subscription the period runs from the day the contract is concluded; for the Tag Kit, from the day you, or a person you name, take physical possession of it.
- Service started during the withdrawal period. The service is made available as soon as the subscription starts. If you expressly asked for the service to begin during the withdrawal period and then withdraw, you pay an amount in proportion to what was provided up to the moment you told us of your withdrawal, and the rest is refunded. Once the service has been fully provided, the right of withdrawal ends, provided that you gave your prior express consent and acknowledged that you would lose the right on full performance.
- Tag Kit. The codes in a Tag Kit are created for your branch at the time of the order and engraved on the plaques. Goods made to the consumer's specifications or clearly personalised are excluded from the right of withdrawal (Article 16(c) of Directive 2011/83/EU). A defective or wrongly delivered kit is covered by clause 5.
- How to withdraw. Tell Paddle or us of your decision with a clear statement within the period, for example by writing to hello@vardify.com. The refund is made by Paddle, to the payment method you used, no later than 14 days after your notice is received, and at no cost to you.
- Nothing in this policy limits a right you have under the mandatory law of your country.
5. Tag Kit
- Where the Tag Kit is offered in your market, each kit contains two engraved NFC/QR wall plaques and one QR card, and up to 5 kits can be ordered at once. The kit price and the shipping cost are shown in the order summary. A kit is shipped only when you request it, never automatically with a subscription; QR tags and tags written with a phone work without it.
- The kit is shipped by cargo to the branch address you give, within 30 days of order confirmation. For the purposes of this policy a kit counts as delivered when one of its plaques is scanned for the first time or when the carrier delivers it, whichever comes first.
- Defective or wrong delivery. If a kit is defective or the wrong kit was delivered, write to hello@vardify.com with your order details; the kit is replaced free of charge. If you are a consumer, your statutory rights for goods that do not conform to the contract are unaffected.
- Delay. If the kit is not delivered within the 30-day period, you may set an additional reasonable period for delivery and, if it is not delivered within that period, cancel the order; the kit price and the shipping cost are then refunded.
- Free kit. In some markets the first kit of a business's first order may be given free of charge while stocks last. A kit that has no price does not give rise to a refund.
6. Failed renewal payment
- If a renewal payment fails, the charge is retried several times and you are sent an e-mail.
- If the payment still cannot be taken, the account is first closed to write operations and is suspended after 14 days.
- Suspension does not delete your data. Once payment is completed, the account is reopened. What happens to the data is governed by the termination provisions of the Terms of Use.
7. How refunds are made
- Refunds are decided and made by Paddle, as the seller of record, under Paddle's buyer terms and this policy, to the payment method used for the purchase. How long a refund takes to appear on your statement depends on your bank or card issuer.
- You can reach Paddle directly at paddle.net, or write to hello@vardify.com and we will pass your request on.
- For questions about invoices, write to fatura@vardify.com.
8. Complaints and disputes
- You can send complaints to hello@vardify.com. Complaints are answered within 15 days.
- Disputes about the purchase itself are governed by Paddle's buyer terms. Disputes about the service are governed by the law and jurisdiction clause of the Terms of Use.
- If you are a consumer, the mandatory consumer protection rules of your country of residence, including your right to bring proceedings before the courts of that country and to use an out-of-court dispute resolution body available to you there, are unaffected.
9. Record of acceptance
When you accept this policy, the date, time, IP address, the document and its version are recorded. The record is kept for the duration of the subscription and for the general limitation period of the applicable law after it (10 years at most), as described in the Privacy Policy. The processing of your employees' data is governed by the Data Processing Agreement.
10. Language
The English version of this document is binding. Versions in other languages, where provided, are for information; if translations conflict, the English text governs.
